We fully understand that letting a property is at least a 12 month relationship between landlord and tenant. With this in mind the quality of the tenant we find is paramount in our minds when letting and managing a property on behalf of our landlord clients.

To this end, we ensure that we carry out vigorous reference checks on the prospective tenants, negotiate all the main terms between parties upfront and ensure your property is ready to be let (if required). 1. Valuation

Our experienced valuer’s possess the following qualities:

  • An in depth knowledge of your local area
  • An awareness of current local demand
  • Knowledge of recently let similar properties
  • Detailed knowledge of latest legislation regarding the lettings sector
  • An acute understanding of national and international economic conditions that may affect the local lettings market at any given time.

They will also give you several tips that are specific to your property which will help you save money and time. 2. Choosing Your Estate Agent

The main positive factors to consider when choosing your letting agent are:

  • The quality of the way they market properties (photos, floorplans, information)
  • The quality of their website
  • Their physical presence in your area (office location, boards etc.)
  • The marketing reach and variation utilised by the agency
  • The knowledge and confidence displayed by negotiators during the viewing process
  • Their up to date knowledge of current lettings legislation
  • Regular updates during the viewing process
  • Their ability to negotiate the best price for your property
  • The honesty and transparency shown by the agency in selecting the right group of tenants for your property
  • Attention to detail when agreeing all clauses between both parties at the outset
  • Regular updates during the referencing process

The first 4 points are quite easy to measure by analysing an agent’s online presence and marketing material. The next 7 points are not as easy to measure until after you have made your choice – and by then it may be too late. 3. Consider Property Management

During our valuation meeting we will also discuss our property management service. This will be of particular interest to you if you do not live close to the property and/or you simply do not have enough time to manage the property professionally during the tenancy. 4. Preparing your property for tenancy

As mentioned in point 1, we will give you several tips specific to your property that we believe will help you to prepare your property to be marketed for rental in its best possible light and minimise or eliminate any potential headaches you my otherwise experience during the tenancy. 5. Marketing your Property

Our detailed property particulars will consist of high quality professional photos, a floorplan, a positive description text highlighting the many selling points of your property and local area information. This will be showcased on our attractive and easy to use website as well as the main internet portals and it will also be sent via email, text and many social media channels to tenants currently registered on our database and a wider relevant audience worldwide.

6. Viewing Process

As mentioned in point 2, the ability of our negotiators to showcase your property in it’s best light during a viewing is crucial to helping you achieve the best possible price. We train our negotiators to highlight positive points whilst confidently fielding tricky questions and reassuring potential tenants of the positive factors of renting your property.

We do not employ hard sell tactics. Instead we prefer to market the best points of your property in a relaxed manner to give the tenant enough space to breathe so they do not feel pressured into making a decision.

All viewings are accompanied by one of our negotiators and we offer full flexibility in viewing arrangements. We will also advise you on the best marketing strategy and viewing times and days for your property to fully maximise interest.

7. Offer & Let Agreed Process

All offers received will be forwarded to you in writing within 24 hours of receipt. We will also carry out a pre reference financial vetting of the tenants (to determine affordability), make a note of their specific additional requests (if any) and discuss their preferred move in date – to ascertain if we think they are suitable tenants for your property.

As mentioned earlier in this section we place great emphasis to attention to detail when vetting tenants. This essentially starts before the formal referencing process. We use our many years of experience and natural gut instincts to determine whether we believe they will be good trustworthy tenants. Ultimately we treat your property as if it were our own. This can be further verified by taking a look at the many positive independent reviews on Google.

Once we have carried out these pre-reference checks, the information will be relayed to you in writing (along with any additional requests made by the tenant e.g.; furniture, decorating, duration, break clause, pets) to help you make a fully informed decision.

Once a let is fully agreed between both parties, we will obtain relevant ID and proof of address from each of the tenants and ask them to sign our pre contract agreement outlining all the main agreed clauses and to pay across the relevant holding deposit fees.

8. Referencing Process

As soon as we have received the holding deposit and other paperwork, we will email the tenants online reference forms for them to complete and submit. This will then be automatically emailed to the referencing agency and they will carry out the following reference checks:

  • A credit check to see if the credit score of each tenant is at the right level and more crucially to ascertain that they do not have any adverse credit or CCJ’s or bankruptcies against their name.
  • An employer’s reference to confirm that each tenant earns the minimum required income and to confirm that they are full time employees within that company.
  • A current landlord’s reference confirming they paid their rent on time, looked after the property to a high standard, did not create any damage and that the landlord will have no hesitation in renting to them again.

This referencing process usually takes a few days to complete. Our negotiator will regularly chase the referencing agency for an update whilst keeping you updated throughout. Once we receive the reference results for all tenants and they have passed ok we will duly inform both parties and email you copies of the reference reports (on request).

9. Final Preparations of your property

If you had agreed to carry out a few additional jobs requested by the tenant at the pre contract stage, we will have informed the tenant on your behalf that these tasks will not be carried out until after they have all fully passed the reference checks.

On the basis that they have, you must now carry these out. These tasks could include: adding or removing furniture, painting and decorating, cleaning etc. We have reliable contacts in most fields and we can recommend a trusted property tradesperson to you if so required. 10. Move in date

We will have informed the tenants that they must pay into our account the balance monies a few days before the move in date.

On the basis they have done this, we will meet them at our office on the move in date for them to sign the AST, the standing order declaration and the property information sheet. Upon signing we will give them all a set of keys and a welcome pack outlining utility companies, meter readings and user manuals etc.

11. Final Paperwork

Within 2 days of the tenants moving in, you will receive signed copies of all paperwork, an invoice statement outlining all monies received, our fees and any other agreed additional fees occurred. You will also receive any balance monies owed to you into your account or we will request payment of balance monies owed to us (depending on whether additional agreed expenses were incurred on your behalf).
